Notice to Schools 84 - 20 August 2026

Update: 2026 VCE written examinations supervisor arrangements

Principals/Directors, VCE and VCE VM Coordinators, and school leaders

Schools are advised that the additional supervision options provided to schools to support the administration of the 2026 General Achievement Test (GAT) can also be utilised for the 2026 VCE written examinations.

For the administration of VCE written examinations, where all other reasonable alternatives have been exhausted, schools can source additional assistant supervisors from the following list if they meet the eligibility criteria:

  • educational support staff from other schools
  • Casual Relief Teachers
  • retired teachers
  • university students
  • early childhood learning personnel
  • primary school personnel
  • school alumni.

Eligibility criteria

School staff must meet the following criteria, to be considered to supervise VCE written examinations:

  • not involved in teaching or delivery of any VCE, VCE VM or scored VCE VET Unit 3 and 4 sequence.
  • no close personal association with any person at their school involved with teaching VCE, VCE VM or scored VCE VET Unit 3 and 4 sequence.
  • no close personal association with any student at their school completing one or more VCE, VCE VM or scored VCE VET Unit 3 and 4 sequence.

Under no circumstances may teachers of VCE, VCE VM or scored VCE VET Unit 3 and 4 sequences be used as assistant supervisors.

Reimbursement is not available to schools if they opt to use eligible school staff as additional assistant supervisors for VCE written examinations.

Schools should contact Examinations Planning and Logistics if they are unsure whether a school staff member is eligible to be an assistant supervisor for the VCE written examinations.

Small Group Settings and Group Computer Rooms

The supervisor-to-student ratio for small group settings and group computer rooms during VCE external assessments has been revised.

Schools may appoint one supervisor for every 8 students completing a VCE external assessment in a small group setting or group computer room.

Action

Principals/Directors, please ensure:

  • any newly appointed supervisors are trained jointly by school personnel responsible for the administration of the VCE written examinations and their Chief Supervisor
  • a record of staff used as assistant supervisors is kept and notify Examination Planning and Logistics of any changes to supervisor arrangements
  • school staff complete the Supervisor Relationships Statutory Declaration and Conditions of Appointment found on VASS downloads (crossing out point 5 if they are full or part-time school employees)
  • VCE Coordinators, Exam Centre Coordinators, Chief Supervisors and staff involved in the supervision of students with small group settings or group computer rooms are made aware of the change to supervisor ratios.
