Notice to Schools 62 –
28 April 2023

Senior secondary level enrolment data

Principals/directors, VCE, VCE Vocational Major (VM), Victorian Pathways Certificate (VPC), VCAL and VET coordinators and VASS administrators

The last day to finalise VCE and VCE VM Unit 3–4, scored VCE VET Unit 3–4 and International Baccalaureate (IB) enrolments is 2 May.

Higher Education studies (HES) enrolments must also be entered on VASS by this date.

Schools should make sure that VCE student programs, including VCE VM, have at least 3 units from the English group, 2 of which must be a Unit 3–4 sequence to meet the English requirement for satisfactory VCE completion.

Schools are strongly advised to have the majority of their VCE, VCE VM, unscored VCE VET, VET Further Education Certificate and VCAL enrolments entered on VASS by this date. This includes enrolments in approved senior secondary re-engagement programs using the new dedicated VCAA provider numbers for each Community and Satellite partner school.

After 2 May, VASS will not allow schools to:

  • enrol in a VCE including VCE VM Unit 3–4 sequence or withdraw from Unit 3
  • enrol in units of competency for a scored VCE VET Unit 3–4 sequence (refer to VCE and VCAL Administrative Handbook 2023 to check which VCE VET programs offer scored assessment at Unit 3 and 4 level)
  • register or unregister IB students (note that all IB students, both Years 11 and 12, need to be registered)
  • enrol returning Interrupted Studies students
  • enter partnership details for VCE Unit 3 and VCE Unit 3–4 combined school-based assessment
  • record Modern Language status by selecting First or Second Language status for students enrolled in a VCE Unit 3–4 Modern Language

Action

Principals/directors, please make sure that coordinators and VASS administrators enter the required enrolment data in VASS by the due date.

More information

VET delivered to school students (VDSS) and late enrolment and senior secondary re-engagement funding

VDSS funding for government schools is pro-rata funding based on the hours of enrolment in each eligible VET certificate and capped at 180 hours per certificate per year. VET enrolments must be entered on VASS no later than 2 May. To be eligible for funding, schools must ensure that students are enrolled at unit of competency level.

The Department of Education, Senior Secondary Pathways Reform Taskforce will use enrolment data entered on VASS to determine VDSS funding allocations for government schools.

For information about VET targeted funding, go to VET Delivered to School Students (Reference 143).

The Catholic Education Commission of Victoria and Independent Schools Victoria also use enrolment data on VASS to assist in determining funding for schools in their respective sectors.

The VCAA is not responsible for funding. Please use the link above to access further information about VET funding for government schools.

The data will also determine the late enrolment funding allocations for students who have enrolled in approved senior secondary re-engagement programs (Community and Satellite).

For more information, go to Late enrolment and senior secondary re-engagement funding (Reference 53).

Enrolments for students undertaking certificates as part of a school-based or part-time apprenticeship or traineeship do not have to be finalised by 2 May.

Refer to Last day for VCE Units 3 and 4 and scored VCE VET Units 3 and 4 enrolments 2023.
