Exporting 2025 senior secondary student data from student management systems for VASS

In September, the VCAA will be making two important changes to the way senior secondary student data is imported into VASS from student management systems.
- When importing a file into VASS, Column 9 will become “Student Email Address” with a maximum limit of 100 characters. Column 9 has previously captured the ‘Salutation’.
- The Victorian Student Number (VSN) field will also become mandatory, requiring a student’s VSN to be entered to successfully complete the import.
This change will be in place for the commencement of enrolments in October.
If your school uses any additional or manual process to manage your export and import processes, please ensure you amend the process according to
VASS Imports: Importing Student Data to VASS.
Action
Principals/Directors, please ensure your school’s student management software has been updated to reflect the changes.

The VCAA does not collect or report salutations, and we have observed schools are collecting these less. These updates reflect the changing needs around data and reporting and help us to ensure we are meeting the needs of schools and students moving forward. This change will be in place for the commencement of enrolments in October.
After this time, continuing to use the previous file structure will result in an import error and failure.
Earlier this year, the VCAA surveyed all schools in Victoria to determine which software was being used. Based on those responses, we contacted relevant software providers to ensure they have updated the export functions in their enrolment software.
